How to filter warmup emails in your inbox/mailbox?

Once you enable email warm-up for any of your email accounts, the email account is added to our email warm-up pool, which includes other warm-up users' mailboxes. After you activate warm-up, you shall receive warm-up emails from the people you don't know as a part of the email warm-up process.

To help you identify and filter warm-up emails in your inbox, the TrulyInbox warm-up emails will contain the keyword Phone_N0: as per the below example:

🚨Important:

If you don't add label in your mailbox with "Warmup Inbox" your engagement won't be tracked by Trulyinbox.

You can also add your custom label name as well but make sure you're adding the same name in Trulyinbox warmup settings.

How to create a label and filter in Gmail/Gsuite?

Create a label

  1. On your computer, go to Gmail.

  2. On the left, scroll down, then click More.

  3. Click Create new label.

  4. Name your label: “Warmup Inbox

  5. Click Create.

Create a filter

  1. At the top right, click Settings> See all settings.

  2. Click on the "Filters and Blocked Addresses" tab and “Create a New Filter.”

  3. Enter your search criteria “Has the words,” and type in “Phone_N0:” (exclude quotes)

  4. At the bottom of the search window, click Create filter.

  5. Choose the label: “Warmup Inbox” (if using another folder name or label, correct numbers might not get reflected in the dashboard)

    1. If using other label, then make sure you're adding it in your warmup mailbox settings in Trulyinbox.

  6. Click Create filter.


How to filter warmup emails in the Outlook desktop application?

Create a rule

  1. Open Outlook on your desktop.

  2. Click on the "File" from the top.

  3. Click on "Manage Rules and Alerts".

  4. One pop-up window will open where you have to click on "New Rule".

  5. You will see tons of options to create a rule. Select "Apply rule on messages I receive" and click Next.

  6. Select the checkbox "with specific words in the body" and click Next.

  7. There will be one pop-up where you have to enter the keyword "Phone_N0:" and click OK.

  8. After you create the filter, you will be asked for the actions. Here, you have to select "move it to the specified folder" (Remember, we are creating a filter for the warmup emails which will not flood your inbox and send those emails to a specified folder so that your main inbox remains clean.)

  9. Now, we have to create a folder by clicking on "New".

  10. Type "Warmup Inbox" and click on "OK". (if using another folder name or label, correct numbers might not get reflected in the dashboard)

    1. If using other label, then make sure you're adding it in your warmup mailbox settings in Trulyinbox.

  11. Now, select the folder we created and click on "OK".

  12. After you have successfully created the folder, you will see the entire summary in the lower box which shows your rule and the actions it will perform for the warmup emails. Verify the same and click "OK".

  13. Skip the next step for adding any exceptions by simply clicking on "Next".

  14. Now in the final step, don't forget to turn on the rule by clicking the checkbox "Turn on the rule" and you are done!


How to Setup Filters an in ZOHO ?

Setting up a content-based filter

  1. Login to Zoho Mail

  2. Go to Settings

  3. Navigate to Filters and click New filter.

  4. After providing a name for the filter, choose the Condition type.

  5. In the Condition section, select Content.

  6. In the next field, you can either choose Contains or Does not contain depending on your necessity.

  7. Enter the content based on which you want to filter. Content: "Phone_N0:"

  8. You can add more conditions by clicking the + sign.

  9. In the Actions section, choose an action depending on your needs.

  10. You can continue adding Actions until all your requirements get satisfied. You need to create a label named "Warmup Inbox"

    1. If using other label, then make sure you're adding it in your warmup mailbox settings in Trulyinbox.
